Instructions for oral and poster presentations

 
 

Submit your presentation on time at the venue 

Please ensure that your presentation is submitted to Speaker Services no later than 16:00 on the day prior to your scheduled presentation. The submitted file will be reviewed and uploaded to the presentation room computer. Use of personal computers or memory sticks during the presentation is strongly discouraged. All presentations will be run on a Windows computer equipped with PowerPoint and Acrobat software. Accordingly, your presentation should be prepared in one of the following formats: .ppt, .pptx, or .pdf. Please format your slides with a 16:9 aspect ratio. If your presentation includes any special requirements-such as embedded links, videos, or demonstrations-or if you require any additional technical support, please contact Speaker Services immediately upon arrival at the conference venue.  You can also contact Krista Kettunen (krista.kettunen@luke.fi) before the conference, if you have questions.  

The Speaker Service and Information Desk is in the Conference Centre lobby near the entrance. They will be open:  

  • Sunday 15th from 14 to 19 
  • Monday 16th from 8:15 to 17  
  • Tuesday 17th and Wednesday 18th from 8:30-17 
  • Thursday 19th from 8:30-11.  

Oral presentations  

Please arrive at your session room 5 minutes prior to the published starting time of the first talk in the session. Before the start of your session make yourself known to your Session Chair.   

There will be conference assistants to help you find your presentation on the session hall computer, keep in time and use the microphone. You can choose to use either a headset or a table microphone. 

During the presentation, the assistant or chair will signal when you have three minutes and/or one minute remaining. If you exceed your allotted time, the chair will stop your presentation. Please note that if you go over time, there will be no opportunity for discussion. To avoid this, please rehearse your presentation thoroughly to ensure you stay within the time limit. 

Oral presentations have different durations. Please check the duration of your oral presentation from the attached conference program.  

  • 25 to 40 minutes followed by 5 min for questions and discussion with the audience (30-45 min slots) 
  • 8 to 12 min followed by 2-3 min discussion with the audience (10-15 min slots) 
  • A lightning talk is a very short presentation lasting just four minutes (5 min slot). You should prepare no more than five slides. The first slide should include only your name, title, affiliation, and acknowledgements. The remaining slides should present a clear and focused message using a simple structure. Avoid using animations and keep your slides clean and professional. The talk should end with a memorable message that leaves a strong impression. Please note that there will be no time for questions during the session.  

Early-career researchers: Researchers who are in the early stages of their careers, including PhD and master’s students, as well as post-doctoral researchers who obtained their highest academic degree less than five years ago.

Instructions and technical advice for poster presentations 

Posters will be on display for one day (MON, TUE or WED). Posters will be put up and taken down by the presenters. Your poster should be mounted in the morning, no later than 8.45am. Poster codes will be posted on the wall to help you find the correct location for your poster. Pins for mounting will be available in the poster area. Please remove your poster no later than the end of the day.  The organisers will dispose of any posters left in the area after the conference. 

There will be three poster sessions. During the poster session in which you are a presenter, please stay at your poster for questions and discussion. Coffee will be served in the poster lobby in the morning and afternoon, and we encourage poster presenters to remain close to their posters also during coffee breaks. 

At the top of your poster, please print the title of the presentation and all authors with their affiliations (see table 1). Posters can be prepared on one sheet (preferred method) or alternatively on several smaller sheets.  

Lightning talk presenters are welcome to bring a small landscape poster in A3 format to be displayed in the poster and coffee area, where attendees can ask questions and engage in informal discussions. If you would like to bring a small poster, please send an email titled Lightning and poster to microbes@luke.fi.

The A3 poster should be clear and concise to support the informal Q&A after the talk, and it should be more like a graphical abstract than a poster.

Showcase your work and gain visibility in the scientific community! 

Early-career researchers: Researchers who are in the early stages of their careers, including PhD and master’s students, as well as post-doctoral researchers who obtained their highest academic degree less than five years ago. 

The organisers will award the best posters on the behalf of FEMS Microbiology Ecology, ISME society, and New Phytologist at the Awarding and closing ceremony on Thursday. Early-career participants who wish to be considered for the awards please register using this form are asked to add an Early-career researcher label on their poster.
